Cancellation and Refund Policy

1. Introduction

At LightFit, we strive to provide exceptional service to all our clients. This policy outlines the terms and conditions regarding cancellations, rescheduling, and refunds for our services and products. By engaging with our services, clients agree to adhere to the terms set forth herein.

2. Client Categories

  • New Prepaid Clients: Individuals who have purchased a special Discovery Consultation at a promotional rate (e.g., $49–$99, regular price $400).
  • Package Plan Clients: Individuals who have purchased a package plan that includes multiple treatment sessions, often bundled with supplements at discounted rates.

3. Cancellation and Rescheduling Terms

3.1 New Prepaid Clients (Discovery Consultation)

  • Cancellation with Refund: Cancellations made 72 hours or more before the scheduled appointment are eligible for a full refund.
  • Rescheduling: Appointments can be rescheduled if notice is given 48 hours or more before the scheduled time.
  • No-Show Policy: Failure to attend the appointment without proper cancellation or rescheduling as outlined above will result in forfeiture of the consultation fee, with no refund or rescheduling options available.

3.2 Package Plan Clients

  • Rescheduling: Clients may reschedule appointments up to 3 hours before the scheduled time. However, rescheduling is limited to 50% of the total appointments within the package. Exceeding this limit may result in forfeiture of the session or additional fees.
  • No-Show Policy: Missing an appointment without prior notice as specified above will count as a used session, deducted at the full session rate of $250.

4. Refund Policy for Package Plan Clients

Clients wishing to terminate their package plan and receive a refund will have the refund amount calculated as follows:

  • Used Sessions: Charged at the full rate of $250 per session.
  • Supplements: Non-refundable if the seal is broken or packaging is compromised.
  • Termination Fee: A $99 fee will be deducted to cover administrative and credit card processing costs.
  • CareCredit Financing: For clients who utilized CareCredit financing, a non-refundable financing fee of 10% of the financed amount will be deducted from the refund to cover the interest paid upfront by the practice.
  • Unused Sessions: Any remaining balance after the above deductions will be refunded. Note that unused sessions are non-transferable and expire 3 months after purchase.

Example Calculation:

  • Package Price: $1,299 (including $299 + tax for supplements)
  • Client has used 2 sessions and wishes to cancel.

Deductions:

  • Termination Fee: $99
  • Supplements: $299 + applicable tax
  • Used Sessions: 2 sessions x $250 = $500
  • CareCredit Fee (if applicable): 10% of $1,299 = $129.90

Total Deductions: Sum of the above amounts

Refund Amount: Package Price – Total Deductions

5. Refund Processing

Refunds will be processed within 7–10 business days after approval. For payments made via credit card, refunds will be issued to the original card used. For CareCredit transactions, refunds will be processed according to CareCredit's policies.

6. Compliance with Nevada State Regulations

In accordance with Nevada Revised Statutes (NRS) 599B.190, clients are entitled to refunds or replacements if goods or services are defective or not as represented, provided a written request is made within 30 days of receipt. This policy complies with state regulations to ensure fair consumer practices.
